Receptionist – Full-Time with Flexible Hours - Inverness

Are you a people person with strong organisational skills? Do you thrive in a fast-paced environment where no two days are the same? If so, we’d love to hear from you! 

We’re looking for a Receptionist to be the welcoming face of our company, manage our switchboard, and provide general office administration support. This is a full-time role with flexibility in working hours, spread over five days per week.

Key Responsibilities:

  • Reception & Front Desk Management – Greet visitors, manage sign-ins, and ensure a professional and friendly first impression.
  • Switchboard Handling – Answer and transfer calls efficiently, take messages, and ensure timely responses to queries.
  • Meeting Room Coordination – Manage bookings, ensure rooms are kept tidy, and prepare them for meetings.
  • Diary Management – Organise and manage the Managing Director’s schedule, ensuring smooth coordination of appointments.
  • Office Administration – Assist with scanning, data processing, invoice handling, and publishing the weekly rota.
  • Office Supplies Management – Order and maintain stock for all branches to ensure smooth operations.
  • Travel Arrangements – Book flights, ferries, and accommodation for colleagues, ensuring they have all necessary confirmations.
  • Health & Safety Support – Assist with supplier questionnaires and compliance-related tasks.
  • General Business Support – Provide additional assistance as needed to keep the office running efficiently.

What We’re Looking For:

  • Excellent communication and customer service skills.
  • Strong organisational skills with the ability to multitask.
  • Previous experience in a receptionist or administrative role (or a strong willingness to learn).
  • Proficiency in Microsoft Office and general office systems.
  • A proactive, problem-solving approach with great attention to detail.
